Position Overview
The Project Manager plays a critical role in ensuring projects move smoothly from approved sale to final installation. This role is responsible for coordinating details across teams, managing timelines and logistics, communicating with clients, and ensuring every project is executed accurately and efficiently.
This position sits at the center of our workflow — connecting sales, design, production, and installation — and requires strong organization, communication, analytical, and problem-solving skills.
Key Responsibilities
Project Coordination & Planning
Review approved sales orders and ensure a full understanding of the project scope and specific project requirements across all departments
Finalize and communicate production and installation timelines internally and externally
Update project tickets with finalized project details
Create and manage project tasks with due dates in ShopVox for production and customer service teams
Schedule and lead internal kickoff meetings across departments
Capture meeting notes (using Google Gemini) and update tasks or sales orders accordingly
Client Communication & Logistics
Communicate with clients to gather site details, confirm logistics, and address scheduling conflicts
Coordinate all shipping and delivery logistics with clients and internal teams
Document all final shipping details (carrier, tracking, delivery windows) in project tickets
Communicate travel accommodations and rental needs to customer service
Meet the client, set budgetary constraints, and communicateÂ
Provide consistent project updates to various stakeholders regarding critical dates, adjustments, and progress.
Production & Installation Coordination
Coordinate with installers on scheduling, site access, equipment needs, and permits
Order project-specific specialty materials, tools, rentals, and coordinate deliveries
Create purchase orders for materials and specialty items
Create supplementary jobs or sales orders as needed for internal coordination (non-billable)
Review estimated installation hours and communicate with Account Executives as needed
Monitor project progress to ensure objectives and timelines are met
Maintain the internal installation and strike calendars
What Success Looks Like
Projects stay on schedule and within scope
Internal teams are aligned and informed
Clients feel confident and well communicated with
Installations are smooth, prepared, and efficient
Details are captured and documented clearly across systems
Qualifications
Very strong organizational and time management skills
Excellent communication skills (both internal and client-facing)
Ability to manage multiple projects simultaneously
Experience in project coordination, production, events, or related fields preferred\
Comfortable working in a fast-paced, hands-on environment
Must be available by phone or email occasionally on weekends (if an event is happening) in the case of an urgent client/event need.Â
